Executive Assistant

JOB ROLE 

We are looking for a qualified Executive Assistant who will provide a variety of administrative tasks and support our company’s senior-level managers. The Executive Assistant will be responsible for mostly business-related tasks such as creating reports, organizing travel, accommodation, taking minutes and other organizational tasks. To do this role, you should have a detailed understanding of the full Microsoft Office suite, be proactive in solving problems and have experience as an executive or administration assistant in the past.

The Executive Assistant responsibilities include working with all departments to support the efficiency of business by providing personalized and timely support to executive members.

GENERAL ACTIVITIES

  • Act as the point of contact among executives, employees, clients and other external partners.
  • Manage information flow in a timely and accurate manner.
  • Manage executives’ calendars and set up meetings.
  • Make travel and accommodation arrangements.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Take minutes during meetings.
  • Organize and maintain the office filing system.

PROFILE REQUIREMENTS 

Professional Experience

  • Minimum of 4 years of experience as Executive Assistant, Personal Assistant or similar role.

Academic Qualifications

  • Bachelor’s Degree in Business Administration or any relevant fields. 

Competency Requirements

  • Excellent MS Office knowledge.
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines).
  • Strong sense of initiative and accountability.
  • High level of professionalism and work ethics.
  • Outstanding organizational and time management skills.
  • Adaptability and desire to work in an evolving/start-up environment where policies and processes are being created
  • Excellent verbal and written communication skills
